Review Board Management: Score Reports

Please Note: Legacy Score Reports will be going away on December 18, 2023. The Grouped by Application Report will export data in a similar format. Select Score Report Options below to learn more.


When managing a review process, it is crucial that you can view, manipulate, and report on score data. Our score reports allow you to do just that!

In this article, we will review:

How to export a score report:

You can export a score report in one of two places:

  • The Review Board Rounds page (Dashboard)
  • The Manage Round page of an individual round

To export from the Review Board rounds page, follow the steps below:

  1. Log in to your Kaleidoscope account -> Client Portal
  2. Navigate to your Programs page
  3. Select the program with the review board in which you need a score report
  4. Click the "Review Board" tab in the sidenav for that program
  5. Click the "Export Score Report" button
  6. Select the type of score report you would like to export
  7. You will see a confirmation message appear when the export process has started

To export from the Manage Rounds page, follow the steps below:

  1. Complete steps 1-4 of the above process
  2. Click on the "Manage Round" link on one of your review rounds
  3. Click the "Export" button
  4. Select "Score Report"
  5. Select the type of score report you would like to export
  6. You will see a confirmation message appear when the export process has started

Accessing your score report:

Once you have started an export of your score report, navigate to the “Reports” tab.

You will see your score report appear at the top of your reports table. If it is still processing, it will display “Processing”. If it is complete, you will see “...” where you can download, view, or share your report.

For larger review boards (thousands of applications being reviewed by hundreds of reviewers) processing can take a couple of minutes.

Download the report to access the files on your own device.

Score Report Options:

There are three types of score reports that are available for export:

Grouped by Application

Reviewer scores and score status, grouped by application in a CSV file.

This report is best for review rounds with applications assigned evenly or custom across reviewers.

Included in the report:

  • Applicant Application Code, First Name, Last Name, and Email Address
  • Reviewer First Name, Last Name, and Email Address
  • The status of scoring per application per reviewer
  • The individual responses to a scorecard question per application, per reviewer
  • The individual response point value per application, per reviewer
  • The total score for an application for a round by individual reviewer
  • The total score for an application for a round across all reviewers
  • The average score for an application for a round across all reviewers (If rank type round, Avg. Rank)
  • The overall total score for an application across all rounds
  • The overall average score for an application across all rounds

Each round of your review board will be represented in a separate CSV file. Data in each file is unique to the round except for the “Overall Total Score” and “Overall Average Score” columns which will consider all scores for the application across all rounds.

Grouped by Reviewer

Reviewer scores and score status, grouped by each reviewer in a CSV file.

This report is best for review rounds with applications assigned to all reviewers.

Included in the report:

  • Applicant Application Code, First Name, Last Name, and Email Address
  • The total scores for an application for a round
  • The total score for an application across all rounds
  • The average scores for an application for a round (If rank type round, Avg. Rank)
  • The average scores for an application across all rounds
  • Reviewer First and Last Name
  • The status of scoring per application per reviewer
  • The individual responses to a scorecard question per application per reviewer
  • The individual point values per reviewer response

Each round of your review board will be represented in a separate CSV file. Data in each file is unique to the round except for the “Overall Total Score” and “Overall Average Score” columns which will consider all scores for the application across all rounds.

Application Data + Score Report (Beta)

Application data combined with total and average scores for the review board and round.

Note that this report will not include iteration question or contributor responses.

Included in the report:

  • First Name, Last Name, Email Address of applicant
  • Application code
  • The total scores for an application for a round
  • The total score for an application across all rounds
  • The average scores for an application for a round (If rank type round, Avg. Rank)
  • The average scores for an application across all rounds
  • Application questions and applicant responses (does not include iteration or contributor responses)

Legacy Score Report

Reviewer scores and score status, grouped by application, formatted in excel.

Since this report is formatted using merged cells, filtering on the report is not available.

Included in the report:

  • Applicant Application Code, First Name, Last Name, and Email Address
  • Reviewer First Name, Last Name, and Email Address
  • The status of scoring per application per reviewer
  • The individual responses to a scorecard question per application, per reviewer (Not included in rank type rounds)
  • The total score for an application for a round by individual reviewer (Not included in rank type rounds)
  • The total score for an application for a round across all reviewers (Not included in rank type rounds)
  • The average score for an application for a round across all reviewers (If rank type round, Avg. Rank)
  • The overall total score for an application across all rounds
  • The overall average score for an application across all rounds

Each round of your review board will be represented in a tab within the excel file. Data in each file is unique to the round except for the “Overall Total Score” and “Overall Average Score” columns which will consider all scores for the application across all rounds.
