Applicant & Contributor Reminder Emails

**Available for programs running in our upgraded program builder & manager**


To ensure the highest application completion rate for your program, we recommend sending reminder emails to applicants and contributors in a Draft status prior to your program application's deadline date.

To make this even easier, we automatically create and pre-schedule a set of five applicant reminder emails and two contributor reminder emails (per contributor form) based on the deadline date of your program application. This feature is available at the Pro and Enterprise tier.

Automatically Scheduled Email Reminders

To access your pre-scheduled reminder emails, navigate to the Communications page of your Program.

Select Scheduled Reminders.

Campaigns will be scheduled based on your program application deadline date. If you update the deadline date, campaign scheduled dates will be updated accordingly.

There are five applicant reminder campaigns:

  • 30 Days From Deadline
  • 14 Days From Deadline
  • 7 Days From Deadline
  • 48 Hours From Deadline
  • 24 Hours From Deadline

And two contributor reminder campaigns per contributor form:

  • 7 Days From Deadline
  • 48 Hours From Deadline

Edit a campaign

You can edit the title, recipient filters, email content, and scheduled send date for any of the reminder campaigns. To do so, select Edit next to the campaign.


Archive a campaign

These schedules were established based on what has proven to drive the highest completion rates for programs run via Kaleidoscope. If you do not want to send all reminder emails for any reason, you can Archive the campaign.

Select the ellipses button on the campaign you wish to archive. Then, select Archive Campaign.


Archived campaigns will not send on the scheduled campaign date and will be hidden from the table. To view archived campaigns, toggle Show Archived Campaigns on.

You can unarchive a campaign by selecting Unarchive Campaign from the ellipses menu. If unarchived, campaigns will be sent on the scheduled send date if one was previously set. If the previously scheduled send date has passed, the campaign will not be sent.


Manually Triggered Email Communications

**Available at all tier levels.


In addition to the automated email communications that will be sent to an applicant, you can manually trigger an Application Deadline Reminder email to be sent to applicants in Draft at anytime.


To trigger the email send, navigate to your program applications manager table and click Send Reminder Email.


This will open a modal that will display the email template and the number of applicants that will receive the email. This email will be sent to all applicants in a Draft status.
