Review Board Management: Send Reviewer Instructions and Reminders

There are two suggested email communications you can send to reviewers throughout your review round:


New Reviewer Email

The new reviewer email will share login instructions and helpful tips to a successful review of applications in Kaleidoscope. This email will be sent to all reviewers in the round. We recommend sending this email the day before or the day of your review round Open Date.


To send the new reviewer email to review board members, navigate to your Manage Round page of the review round and select Send Reviewer Email.

From the dropdown, select Send new reviewer email. This will bring you to a new campaign within Connect, with predefined filters - all reviewers in the round - and email copy.

Navigate to the Create Content page of the Connect campaign. Add the Reply To Name and Reply To Email Address.

You're welcome to make any changes to the email body content, as well.


When ready to schedule or send the campaign, navigate to the Review & Send page and schedule or send your email campaign.

If new reviewers join the round as it is in progress, you can send them this email individually by selecting the New Reviewer Email template in Connect and filtering by First and/or Last Name.

Reviewer Reminder Email(s)

The reviewer reminder email will serve as a nudge to the reviewer(s) who has not yet completed scoring or ranking their assigned applications. We recommend scheduling 2-4 reminder campaigns throughout the review round to ensure all reviewing is completed on time.


To send or schedule reviewer reminder email(s) to review board members, navigate to your Manage Round page of the review round and select Send Reviewer Email.

From the dropdown, select Send reviewer reminder email. This will bring you to a new campaign within Connect, with predefined filters - reviewers within the round who have not completed scoring all applications - and email copy.

Navigate to the Create Content page of the Connect campaign. Add the Reply To Name and Reply To Email Address.

You're welcome to make any changes to the email body content, as well.


When ready to schedule or send the campaign, navigate to the Review & Send page and schedule or send your email campaign.

If you wish to schedule all of your reviewer reminders prior to the round open date, you can do so by navigating back to your Connect dashboard and cloning the campaign you just created. Schedule each cloned campaign for different dates throughout the review round.

The filters on the Connect campaign will automatically update as reviewers complete scoring, so once campaigns are established, there is no need to revisit and edit unless you wish to change email body content.
